Trace one order from purchase to return

Use the notice and affected orders to map who accepted the order, sourced the item, packed it, appeared on the packing slip and invoice, shipped it and handled the return. Capture the actual customer-facing materials rather than relying only on a supplier agreement.

Look for another retailer, marketplace or supplier appearing as the seller of record, or for packaging that directs the customer to a third party.

Audit every fulfillment partner

A written promise is useful only when the operational test matches it. Preserve test orders and photos that show the corrected experience.

  • Contract terms for seller identity and branded paperwork
  • Packing slips, invoices, labels and external packaging
  • Inventory availability and shipment-confirmation flow
  • Return address, refund responsibility and customer contacts
  • Monitoring and test-order results by supplier

Remove noncompliant paths

Pause suppliers or products that cannot meet the required seller-of-record and returns process. Update integrations and staff procedures so orders cannot be routed to an unapproved retailer. Document completed terminations or workflow changes.

Add recurring test buys, paperwork checks and supplier scorecards. Assign one owner who can stop a fulfillment source when it fails.

Connect the appeal to customer evidence

Explain the original process failure, the affected orders, the completed correction and the control that now verifies each partner. Avoid arguing that the customer still received the right product when the concern is the fulfillment identity and responsibility.
