Preserve the full activity record
Save the notice, buyer messages, insert designs, email campaigns, discount or rebate programs, agency contracts, employee instructions and payment records. Record dates and affected ASINs before revoking access so the investigation remains complete.
Do not limit the review to a campaign called reviews. Search for language about feedback, ratings, reimbursements, launches, testers, VIP groups and post-purchase outreach.
Map people, incentives and approvals
Separate verified facts from assumptions. If an outside party acted beyond its authorization, document the agreement, access and discovery rather than claiming there was no relationship.

Complete corrective controls

Create an approval checklist, policy training, access review and periodic audit covering staff and third parties. Define who owns each control and how exceptions are recorded.
Write a direct, evidence-led response
Explain the activity, root cause, completed actions and oversight changes without minimizing the concern. Link each statement to the preserved record and avoid promising that an agency will simply behave differently in the future.
