Treat the rejection as a data-matching problem

An identity verification failure may result from a factual mismatch, an unreadable file, an unsupported document type or information that cannot be connected to the seller account. Save the complete notice first and list every field Amazon asked to verify.

Create a comparison table for the account holder, legal business name, registration number, registered address, operating address, beneficial owners, bank holder and tax identity. Preserve spelling, punctuation and address order exactly as shown on the underlying records.

Give each document one job

Use the document types requested in the current workflow. A company registration extract may prove legal existence but not a current operating address; a bank statement may show an account holder but not establish ownership of the company.

• Full page, all corners visible and no cropped headers or footers
• Readable issue date, issuing authority and document number
• Names and addresses that connect directly to submitted account fields
• A translation when required, kept together with the original file

Explain legitimate differences

A trading name can differ from a legal entity, and an operating address can differ from a registered office. Those differences are not automatically errors, but the relationship must be supported. Add the corporate or authorization record that connects the two values.

Do not edit a source document to make it resemble the account. Correct the account field when it is wrong, or provide the connecting record when both values are accurate.

Run a final consistency check

Before submitting again, compare the new file set with earlier submissions. Remove superseded duplicates, label the files, and make sure no old address or former representative appears without explanation. Keep a copy of exactly what was sent and the confirmation screen.
